Position Overview

The Office Administration & Event Assistant supports the daily operations of MUSC by managing event bookings, assisting clients, preparing event spaces, and helping maintain organized and welcoming facilities. This role combines customer service, office administration, and hands-on event support in a fast-paced environment.

Job Duties & Responsibilities

Office Administration & Reception

  • Manage meeting room and event space bookings

  • Process booking requests and confirm room availability

  • Respond to phone calls and email inquiries

  • Process invoices and collect payments using POS systems

  • Maintain booking logs, schedules, and office records

  • Handle key sign-outs and returns for booked spaces

  • Support administrative projects and office improvements

    Event Setup & Support

  • Assist with event teardown and room resets

  • Set up tables, chairs, divider walls, and speaker systems
  • Support event organizers with setup requests

  • Coordinate with external rental vendors when needed

  • Help troubleshoot setup or equipment issues during events

    Skills & Qualifications

  • Strong communication and customer service skills

  • Organized and detail-oriented

  • Able to multitask in a fast-paced environment

  • Comfortable working independently and in a team setting

  • Quick learner with strong adaptability

  • Comfortable using computers and office software

Preferred Qualifications

  • Customer service experience
  • Administrative or office support experience
  • Event setup or coordination experience
  • Cash handling or retail experience
  • Basic knowledge of audio-visual equipment
